The goal of the training is to acquire practical skills in project planning and execution. Project scheduling and project execution tracking have a huge impact on successful project final result. Therefore, the knowledge on proper project planning, task selection, creating relations between them and assigning certain resources have an enormous influence on effective project management. These factors have also significant meaning when taking into account the financial aspect of the project. During the course, the participants will also learn how to track the project execution efficiently and how to influence proper task realization.
After the training, each participant will be able to:
- Create a proper project schedule,
- Implement project phases and create an appropriate hierarchy of project tasks,
- Assign defined duration to the tasks and specify relations between them,
- Estimate proper task costs,
- Assign labour resources (people), equipment and materials to project tasks,
- Insert project milestones,
- Define and control tasks which are on the critical path of the project, which has a vulnerable impact on project duration,
- Insert deadlines to particular tasks as well as task limitations,
- Save base plan and control the realization of certain tasks,
- Define task realization progress,
- React to task delay,
- Predict how the task delay will influence the project completion time,
- Reduce the resource overload,
- Report the project work execution progress,
- Create a proper Gantt chart.
The training is designed for those who would like to be acquainted with creating project schedules. The course is also useful for people involved in project planning or those who are responsible for controlling projects.
The training participants receive training materials in the form of a script, specially adapted to the thematic scope of the training.
Introduction to project management
The training participants will learn about the rules of creating a schedule as well as MS Project program capabilities and will be familiarized with the basic tools used in planning.
- The principles of creating a schedule
- Planning model
- Project scope
- Project duration
- Project resources
- Project costs
- Planning equation: duration = work / resource units
- Views in MS Project
- Defining project calendars
- Defining the start and finish date of project
- Project properties
Creating a schedule
In this part, the training participants will learn how to save and create a proper project work schedule, by defining certain schedule tasks and their properties. They will also gain the skills in creating relations between tasks and assigning lead and lag time to them. The participants will learn how to add checkpoints and continuous and recurring tasks as well.
- Adding simple tasks to project
- Creating task hierarchy and defining certain project stages
- Defining task duration
- Differences between task duration and calendar time
- Adding milestones, checkpoints and continuous tasks
- Defining task relations
- Inserting lead time and lag time
- Adding notes and other documents to project tasks
Project resources
Labour as resource – meaning that the people working on the project, materials, equipment and costs will be added to the project tasks. In this part of the training, the participants will learn how to define resources in the project, modify their properties, add work calendars for a particular resource and define the work costs of a resource.
- Assigning resources to resource sheet
- Types of resources: Labour resource, material, equipment and cost types of resources
- Defining and assigning calendar to resource
- Changing resource properties
- Assigning resources to tasks
- Adding labour, material and cost types of resources to tasks
- Assigning deadline to tasks
Analyzing a newly-created schedule
After the project has been planned, we should verify whether all the tasks will be realized within predicted time and if there is no resource overload, which can cause cost increase and inability to realize tasks. At this stage of the training, the participants will be taught how to eliminate work overloads and shorten the project duration time effectively, so the project tasks will be realized faster and on time. They will also learn the methods of analyzing project costs.
- Finding resource overload
- Analyzing critical path
- Influencing the start or end time of the project
- Assigning fixed costs to project
- Analyzing project costs
Project plan execution – work progress
In this part, the participants will begin the project execution by comparing a schedule with the actual task realization. The knowledge on work progress allows efficient control over project realization. The participants will also learn various ways of avoiding delays and making work progress adequate to the scheduled duration.
- Saving project baseline
- Adding work progress to project
- Adding changes to project
- Updating tasks
- Deviations in a project
- Solving problems regarding task realization
Reports in a project and printing
At this stage of the training, the participants will be acquainted with the methods of creating reports, which will enable them to control the project realization. They will also be taught various printing methods.
- Displaying reports concerning task realization
- Creating costs reports
- Creating ‘who does what’ reports
- Printing project view
- Printing Gantt chart
