The initial stage involves getting to know the profile of the company which inquires about our training. This involves an insight knowledge of the specifications of the company, the work organization in order to specify the training needs and diagnose the most common problems which are encountered by the employees. Our task at this stage is to get to know the detailed needs of the Clients during meetings, interviews and other forms of contact. During that time data is being gathered also through telephone conversations and e-mails. After initial contact, data is then analyzed according to chosen criteria. A very common practice is to enable the Client to meet with the appointed trainer in order to come up with tailor-made solutions for the training. During such meetings, the trainer, relying on his professionalism and experience, may diagnose difficult situations which are then discussed and solved during the training. Sometimes the company’s documentation is analyzed in order to direct the training to the specific areas and exercises so as to provide the participants of the training with the most practical knowledge necessary to increase their professional qualifications and increase their efficiency.
During the preparatory stage we conduct an initial need analysis of the Client. Thanks to the conclusions we can create an individual training offer comprising the topic of the training and the initial syllabus. The offer will also set the technical and organizational details as well as the calculation of the price. After our Client has accepted the offer, especially when it comes to the training syllabus, we start completing a more detailed tailor-made syllabus. The tailor-made syllabus is conducted only after the training contract is signed by the client.
The most important element of the preparatory stage is to identify the training needs. This element involves the diagnosis and, afterwards, the training need analysis. The diagnosis comprises not only the key problems of our client in the field of the training, but also the training needs of the specific employees delegated to be trained. Due to the importance of conducting a thorough need analysis, the following questions need to be asked: at what level do the employees already have the skills which are to be trained? Are there any, and if yes, then what kind is the difference between the owned and expected knowledge and skills, what tools are needed (tests, interviews, document analysis or others) to analyze the problems? What kind of training effects does the client expect? The need diagnosis of the key training elements is possible through consulting, interviews, diagnostic surveys, competence tests etc. Another important element is defining the key organization problems as well as the specific employees’ problems which will provide us with sufficient data to process and implement into our training offer.
The training need analysis is aimed to set up the level of the already acquired skills in relation to those that should be acquired. Thanks to this information, we can understand what abilities we should focus on during the training. This will enable us to define the desired training effects and it will make possible for our client to achieve the aims which the training should fulfill. During the need analysis we will take into consideration the aims of our clients, the skills and qualifications necessary for the position of the employees, the current and future development needs of the employees (the future scope of competence). The analysis will be conducted through the results of the tools used in the analysis stage. One of the most important elements of the analysis are diagnostic tests which show the current skills and knowledge of the employees. The tests have two aims, the first is to analyze the level of the current knowledge and the other aim is to qualify the employee, on the basis of his test result, to the specific training group of his advancement level. The tests results are given back to the Client as a feedback to enable them to plan their professional training more efficiently. The final stage of the analysis is to set the main training objectives and the methodology leading to their fulfillment. It is essential to divide the participants of the training into groups according to their current skills. The client is presented the expected training effects in relation to the client’s aims.
At the beginning stage of delivering the training we conduct an individual plan including the specific information concerning the topics which will be dealt with during the training itself. This plan includes the elements of knowledge necessary for the Client, in accordance with the guidelines set during the meeting at the initial stage and conducted during the preparatory stage. The chosen topics (elements of theory and practical exercises) are tailor-adjusted to the needs and expectations of the clients. They have been introduced to the syllabus as a result of the earlier diagnosis and analysis of the training needs according to the specific needs of the client and the nature of his work. At this stage we also precise the topics of the specific training modules, including specific exercises in relation to the set training objectives. The syllabus contains key issues important to our Client due to the fact that they address the problems of specific employee groups. The syllabus puts a special emphasis on executing the priority tasks which will have the highest influence on increasing the employees’ qualifications and, at the same time, raising the efficiency of their performance.
This stage also sets the term of the training as well as the term for the after-training report, including the assessment of the training, to be handed in. We also conduct or modify verification tools of the efficiency of the training as well as select the evaluation tools of the training. On our Client’s demand or on the basis of our earlier analysis and expertise, we conduct research into the organization or other kinds of problems within the company with appropriate tools and adequate research methods.
The next stage includes the realization of the training itself. During the course we present the participants the training materials, which have been specially created or modified to the specifications of the work of our client. The materials include all the issues which are the result of earlier analysis. During the training we discuss the topics which enable the participants to be acquainted with different alternatives to solving their problems in everyday work and, at the same time, give them the basics for increasing their specific skills and through this, their professional qualifications. In the final part of the training, the participants of the training receive surveys to complete. The surveys verify the quality of the training. The evaluation surveys include specific criteria in accordance to which the participants assess the training. After completing the training, every participant receives a certificate confirming the attendance of the training as well as acquiring knowledge and gaining defined skills. After completing the training we turn to assessing it – the next stage of the training procedure. We conduct the analysis of the evaluation and effectiveness surveys. According to the kind of training, on the basis of the results of the surveys, we prepare a report which includes the key information (specific statistics data as well as their interpretation), including the most important aspects of the completed training. This report is sent to the Client. On his demand, we can also discuss it and comment on it during an appointed meeting in a mutually agreed term.
The training procedure of AkKom also includes after-training care up to three months after completion of the training. This stage comprises two forms: consulting and counseling. Every participant of the training may contact the trainer via e-mail or phone as well as directly on the site of AkKom in order to gain additional consultancy.
